Hollend Furnishings Ltd. (“we”, “us”, or “our”) operates the Hollend ERP System, including its integration with QuickBooks Online. This Privacy Policy details how we collect, store, use, and safeguard data retrieved from your QuickBooks Online account via our integration.

1. Scope of Data Collection

When you authorize the Hollend ERP System to connect with your QuickBooks Online account, the application requests access to specific accounting scopes. We only retrieve and process the following data:

  • Customer Profiles: Names, billing/shipping addresses, and contact info to verify client records.
  • Invoices & Sales Transactions: Line item details, dates, totals, and balances to track project financials.
  • Vendor & Bill Information: Vendor names, invoice numbers, amounts, and dates for matching manufacturer orders.
  • Deductions & Credits: Installer deduction data to automatically compile vendor credits.

2. Purpose and Data Processing

The retrieved QuickBooks Online data is processed solely for the internal operational management of Hollend Furnishings Ltd. Specifically, this data is used to:

  • Synchronize local installation project billing status with QuickBooks Online.
  • Verify and audit OECM Manufacturer Agreement margin percentages (e.g., Global, Humanscale).
  • Ensure manufacturer purchase orders and install completed dates sync seamlessly with corresponding billing vouchers.
  • Reduce administrative double-entry by automatically publishing invoices and vendor bills from the ERP to your QuickBooks ledger.

Zero Third-Party Sharing: We do not sell, rent, license, or share any customer data or accounting data retrieved from QuickBooks Online with third parties. All processed data remains strictly confidential and local to Hollend Furnishings’ private infrastructure.

3. Data Storage & Security Standards

We implement industry-standard physical, technical, and administrative controls to protect your data:

  • Token Protection: OAuth 2.0 Access and Refresh Tokens are securely stored inside our database and are never logged or exposed in client-facing requests.
  • Encryption: All communication between the Hollend ERP and QuickBooks Online is encrypted in transit using Transport Layer Security (TLS 1.2 or higher/HTTPS).
  • Access Control: Access to the ERP settings and synchronization controls is restricted to authorized operations managers of Hollend Furnishings.

4. Data Retention and Deletion

QuickBooks Online synchronization records and authorization tokens are stored only as long as necessary to support the active integration. If you choose to disconnect the QuickBooks Online integration, all authorization tokens are immediately purged from our database.
